05.05 -- Foreign Travel and Activity Reporting Requirements/ Medical Evacuation Insurance Last updated July 26, 2005
A. General. The Risk Management Office administers Foreign Country Liability Insurance for the University and, if requested by the employee or by the department, arranges for medical evacuation insurance for employees traveling overseas. The renewal process for Foreign Country Liability Insurance requires the University to inform the insurance carrier annually regarding current and intended UI activities outside of the United States. This report is generally submitted in February and includes:
A-1. Information on anticipated foreign travel by employees.
A-2. Identification of foreign locations owned or leased or leased by UI and a description of the activities conducted at those locations.
B. Process. University deans are asked to provide an annual Foreign Travel Report [Sample Form] to the Risk Management Office regarding overseas activities and travel by employees. If medical evacuation insurance is desired for a traveling employee, a request must be submitted in advance to the Risk Management Office.
C. Procedure.
C-1. Foreign Country Liability Insurance. Upon request by the Office of Risk Management, deans or their designees are responsible to report all overseas programs conducted by their college and the location of each program as well as those persons in their area who are, or will be, working outside the United States, or traveling to foreign countries on UI business, during a specific period of time. Requested information about employees includes title, destinations, and brief explanation of the duration and nature of their activities for the University.
C-2. Medical Evacuation Insurance.
i) Deans (or designees) are responsible to inform the Risk Management Office prior to the employee’s departure to arrange for medical evacuation insurance for the employee.
ii) The traveling employee is responsible to inform the Risk Management Office prior to departure if he or she wishes to arrange (and pay the premium for) medical evacuation insurance for accompanying dependents.
