Foreword:

The activities of the department of Records Management directly address Objective B of the Organization, Culture, and Climate Goal of the UI Strategic Plan: Sustain and enhance an organizational structure, policies, and procedures that enable the University to attain its other goals. Records Management is a basic aspect of institutional knowledge management, and properly practiced, ensures institutional compliance with relevant regulations and laws, allows us to respond to requests for information quickly and accurately, and mitigates some litigational risks.

Records Management exists to assist and coordinate the efforts of individual units, to allow them to better manage their records in a consistent and legally defensible manner, that is also consistent with the historical preservation interests on campus.  

That is to say, Records Management promotes the policies it does and provides the services that it does in order to help individual units, University Counsel, the UI Archivist, and the Board of Regents meet their records goals.

Pursuant to that mission, Records Management will from time to time coordinate presentations of an educational nature related to records and records management.  When possible, those presentations will be made available for review here.

Please note that this information regarding paper shredders was missed in the presentation:  When a legal hold is placed on a department's records the only way to verify that destruction has stopped is to have records of the shredding process being halted. When you use a Shred-it console you must schedule the pickup, and records are kept as to when the material to shred has been picked up and destroyed.  When you have a personal shredder there is no way to defend that documents were not shredded.  For this reason we recommend that if you have personal shredders in your office you should get rid of them and request a Shred-it console.
